Oaken Field Reports · Early access
Farm visit reports by voice, with the lease, the rent and the landowner built in.
Talk through the farm visit from the field or the truck. Oaken turns it into a landowner-ready field report, adds the lease terms, rent payments and county cash-rent benchmark from your Oaken records, and delivers it to the owner’s secure portal. The write-up is done before you’re home.
- Voice notes, photos and handwritten notes become a structured field report
- Lease, rent and notice deadlines pulled from your records, never guessed
- Every visit rolls up into the year-end landowner report
“North 80, September 8th. Tenant started shelling on the east side, about fifteen percent done, running around two-ten. Waterway on the south end is washing again, needs a look before spring. North tile outlet is clear. Tenant wants to talk about the lease before the end of the year.”
Fictional farm and figures, for illustration only.
Why farm managers need more than a notes app
The visit takes an hour. The write-up shouldn’t take the evening. And the landowner needs more than a PDF.
Voice-to-report tools save typing. But an absentee owner judging a farm manager, a tenant and a rent level needs the visit in context: what the lease says, whether rent arrived, and how the rate compares with the county.
Notes scattered everywhere
Voice memos on one phone, photos on another, a notebook in the truck. Hours of retyping before any owner sees an observation.
Reports with no lease context
A field report that never mentions the notice deadline, the rent check or the county average leaves the owner to connect the dots.
PDFs lost in email
Owners, heirs and their CPAs can’t find last spring’s report when renewal or tax time comes. The record walks out with the inbox.
How it works
From voice note to landowner report in four steps
- 1
Talk through the visit
Record a voice note, snap photos or photograph handwritten notes. Say what you see in any order: crop condition, drainage, conservation practices, the tenant conversation.
- 2
Oaken matches the farm and lease
The visit is tied to the field and lease already in Oaken, so there’s no second farm list to set up. Lease terms, rent and county benchmarks are added from your records.
- 3
Review, edit and sign off
Read the draft on your letterhead, fix a word, and sign. The signed report becomes the dated visit record. Follow-ups become tasks with due dates.
- 4
Delivered to the owner’s portal
Owners, family members and advisors you invite get a notification and a mobile-friendly report, filed next to their leases and payments. Export to PDF or Word anytime.
Beyond voice notes
Most field reporting apps stop at the PDF. Oaken keeps the whole farm relationship.
Voice capture is quickly becoming standard. What sets Oaken apart is the lease, payment and landowner record that every report connects to.

Questions
Farm visit report FAQs
What is a farm visit report?
A farm visit report, or farm inspection report, is the written record a farm manager, crop consultant or agricultural advisor prepares after visiting a property. It covers crop condition, field and drainage issues, conservation practices, the tenant conversation and follow-ups. For an absentee landowner, it is the main way to see how the farm and tenant are performing.
What should a farm manager include in a report to a landowner?
Owners want the visit observations plus the context to act on them: lease terms and upcoming notice deadlines, rent paid and still due, how the contract rent compares with the county average, maintenance and stewardship items, and what happens next. Oaken Field Reports adds the lease, payment and benchmark items from your Oaken records automatically.
How do voice field reports work?
You talk through the visit on your phone, add photos or a picture of handwritten notes, and Oaken drafts a structured field report from what you said. You review and sign it, and it is delivered to the landowner’s portal and filed as the dated visit record.
How is this different from a voice notes or field reporting app?
Voice reporting apps turn what you say into a document. Oaken connects that document to the rest of the farm relationship: the lease, rent payments, renewal deadlines, county cash-rent benchmarks and the landowner portal. Every visit also rolls up into the year-end landowner report.
Will the AI make up yields, rent or lease figures?
No. Lease terms, rent and payment figures come only from your Oaken records, and county rent comes from USDA NASS data. If something isn’t on file, the report says so rather than estimating it. You review every report before it’s sent.
Who owns the data, and is it used to train AI?
Your farm data belongs to you. Visit notes, photos and reports are not shared with third parties or used to train AI models, and you control which owners, family members and advisors can see each report.
Does it replace my farm management or precision-ag software?
No. Field Reports works alongside the systems you already use. Oaken’s landowner reports can include precision-ag records, such as as-applied and yield map PDFs, alongside lease and financial documents.
Can landowners and their families see the reports?
Yes. Reports are delivered to the landowner’s secure Oaken portal, where invited family members, CPAs and attorneys can view them next to leases, payments and documents.
