12 Farm Manager Software Features to Look For
A 12-point farm manager software checklist: leases, notice dates, flex rent, payments, owner reports and more, with a demo test for each feature.
A good farm manager tool saves time on the dull parts of managing land: finding the lease, remembering the date, working out the rent, and writing the owner's report. Use this checklist when you compare tools. Score each feature 0 (missing), 1 (partly) or 2 (works the way you need it). The demo test next to each feature tells you what to ask to see.
The checklist
1. Leases by field and landowner
Every lease should link to its fields, acres, landowner and signed copy. Include FSA farm and tract numbers if you file for ARC/PLC.
Demo test: open one landowner with three fields and show me every lease.
2. Notice and renewal reminders
Many leases renew on the same terms if nobody acts before a state notice date. You want countdowns well ahead of the date. See our lease deadline checklist for a 120-90-60-30 day ladder.
Demo test: show me what I get 90 days before a notice deadline.
3. Every kind of rent
Fixed cash is the easy case. Flex and crop-share leases need the formula, the yield and price inputs, and a final settlement.
Demo test: enter a flex lease and calculate the payment.
4. Rent payment tracking
You need what is scheduled, due and paid, and proof of payment, for each lease.
Demo test: show me everything due in the next 30 days and mark one paid.
5. Landowner records
Owners include trusts, estates and heirs. The tool should hold contacts, family relationships and the history of your contact.
Demo test: show me owners I have not contacted in 60 days.
6. Owner statements
A statement lists what was paid, when, and how it was split between owners.
Demo test: generate a statement without retyping any numbers.
7. Annual landowner reports
Owners read short, clear reports. Pull lease terms, payments and local cash rent from one place. See what to put in a yearly landowner report.
Demo test: build a year-end report for one owner.
8. Field visit reports
Notes from a visit should end up in the owner's record, next to the lease. Oaken's Field Reports turn a voice note and photos into a report with the lease terms and rent attached.
Demo test: record a 30-second visit note and show me the report.
9. Signed documents
Leases, amendments and filings belong under the right owner, with the signed copy attached.
Demo test: find the signed amendment to one lease in under a minute. A lease tracker helps even before software.
10. Many owners, many farms, many people
A portfolio has several owners per farm and several team members. Check who can see and change what.
Demo test: show me what a new team member can see.
11. Import and export
You should be able to bring in your spreadsheets to start and take your data out as a plain file at any time.
Demo test: import my spreadsheet and export the payments as CSV.
12. Mobile access
You will check a lease or a payment from the field or the truck.
Demo test: open a lease on a phone.
How to score
Add up your scores. Out of 24, treat anything under 16 as a gap you will feel within a year. Weight the features that match your worst problem: a missed date, a lost amendment, or a payment nobody can prove. Judge every tool against that problem first.
How Oaken scores
Oaken covers all twelve in one system of record for the land you rent, manage or own. It is not a crop, livestock or accounting tool. If you also need one of those, see 8 farm manager software options compared.

Questions, answered.
How do I score a tool with this checklist?
Score each of the 12 features 0 (missing), 1 (partly) or 2 (works the way you need it). Out of 24, treat anything under 16 as a gap you will feel within a year. Judge every tool against your worst problem first.
Do I need all 12 features?
Not equally. Weight the features that match your biggest risk, such as a missed notice date, a lost amendment or a payment nobody can prove, and test those in the demo first.
Is this article legal or tax advice?
No. This article is educational and explains the records and steps behind the topic in plain language. For decisions about a specific lease, tax filing or program enrollment, work with your own attorney, CPA or local FSA office.
